Supporting Compliance Where the Work Happens

White Ridge Holdings Ltd has been a Safe Business Solutions client for 7 years. Our (SBS) team has been there to support and observe as the business has grown, helping strengthen its health, safety and compliance systems along the way.

Recently, Louise, our Auckland-based Health and Safety Advisor, visited Jacky, the H&S Coordinator at the White Ridge Holdings Ltd base in Aria. Louise works closely with clients on the risk registers and procedures that sit at the centre of a functional health and safety management system. While Louise and Jacky had dealt with each other regularly, this visit was their first opportunity to meet face to face.

It was a chance to put a face to the familiar voice at the end of the phone and emails, but also to see first-hand the practical work Jacky is doing in her compliance role at the coal face.

When Jacky first started with WRHL, she was still “finding her feet” in the compliance space. Since then, she has developed into a key support for the team across different sites, helping turn systems, records and requirements into practical day-to-day action.

This has been a particularly rewarding part of the journey for SBS Office Administrator, Ra. She has worked with Jacky weekly through SBS Link, our automated weekly text service that clients can opt into for their staff. SBS Link prompts workers to reply with photos or details of any potential health and safety issues, helping businesses capture what is happening in the field before small issues become bigger ones.

Louise has also supported the broader development of WRHL’s health and safety systems, including the risk registers that help identify workplace risks, record controls and keep responsibilities visible. From their different areas of support, both Ra and Louise have enjoyed seeing Jacky build confidence, take ownership and become a trusted part of WRHL’s H&S compliance success.

Bringing her policing and investigation background into the workplace, Jacky has built strong relationships with the field team and become a familiar on-the-ground presence. Her practical, positive approach helps ensure important records, training and paperwork are completed, supporting both day-to-day compliance and WRHL’s ability to secure future work.

Jacky’s role is a strong example of what effective compliance looks like in practice. It is not just about having documents in place. It is about engaging with people, gathering the right information and making sure systems reflect what is really happening on site. We also hear there may be a well-stocked lolly drawer involved, which is always a useful engagement tool.

During the visit, Louise had the opportunity to see how WRHL is using Bonnet, a fleet maintenance system recently introduced by the business. Jacky’s enthusiasm for the system was clear as she showed Louise the different ways WRHL was using it to support vehicle and fleet compliance.

Managing a varied fleet across different industries and sites can quickly become challenging. Maintenance records, checks, road compliance obligations and servicing requirements all need to be kept consistent and up to date. Bonnet is helping WRHL bring that information together in a more practical way for the team.

At SBS, we know that no single system suits every business. Some clients work from paper-based systems, some use internal spreadsheets and others prefer dedicated online platforms or industry-specific software. Our role is to support clients with practical, up-to-date health and safety systems that work alongside the tools they already use or might choose to adopt. Where a client is using a system well, our job is not to replace it, our job is to help make sure the overall health and safety system remains practical, connected and useful.

WRHL owner Jenny Bradbury also highlighted the value of working with a New Zealand-based software provider. Local support can mean better responsiveness, a stronger understanding of the working environment and more practical problem-solving when it matters.

For SBS, visits like this are a valuable reminder that good compliance happens where the work happens. Systems matter, but people bring them to life. Jacky’s work with the WRHL team shows how practical, consistent effort can support health and safety out of the folder of requirements and into part of everyday business.
